How and When to Use Gifts

The best thank-you donors can receive is knowing their gifts have been used.

The UW Foundation encourages campus units to review their fund balances and to spend any available dollars.

The Foundation created its Campus Access application to give you, our campus partners, access to account information about your expendable “12” funds and endowment “32” funds. Deans, department administrators, program directors, principal researchers are among those generally authorized to use Campus Access.

All of your fund transactions are reflected in Campus Access, and it is there that you can determine how much you have to spend.

The Foundation and the University also have developed a check request process to transfer dollars from Foundation accounts into University “233” accounts for campus use.

Several documents, including the Chancellor’s memo (PDF), help sort out what kinds of expenses Foundation-held funds can and cannot be used for.
